MOQ and Sampling Explained: How Trim Orders Actually Work
Short answer: MOQ exists because every design needs machine setup — loom threading, embroidery digitizing, or a PVC mold — that costs the same whether you order 50 or 5,000. MOQ counts per design and size version. At SAIM Label many catalog items start from 50 pieces, sampling is agreed in the quote, and approved repeat designs skip sampling entirely.
Why MOQ exists at all
A woven label run means threading a loom to your artwork; an embroidered patch means digitizing the stitch file; a PVC patch means cutting a mold. That setup cost is identical whether the run is 50 pieces or 5,000 — which is why per-unit prices fall so steeply with quantity, and why there is a floor below which a run stops making sense for both sides. MOQ is that floor, not a negotiation tactic.
How MOQ is counted
- Per design — each artwork is its own setup, so two logos at 100 pieces each are two runs, not one 200-piece run.
- Per size / color version — usually counted separately when the setup changes; size runs of the same label design are the friendly exception, produced in one run with a size breakdown.

Two different checkpoints get called "sample". The digital proof — a production drawing with final size, colors and construction — is standard on every order and catches most issues. The pre-production sample — a physical piece made before bulk — applies when hand feel, color accuracy or a new construction matters. Sampling arrangements and costs are stated in the quote rather than assumed; and once a design is approved, repeat orders skip sampling because the settings, files and molds stay on file.
Use quantity tiers to see the curve
Ask for two or three quantities in one RFQ — 100 / 500 / 2,000 — and the quote shows how steeply your design's unit price falls. That one habit turns MOQ from a wall into a planning tool: sometimes 500 pieces cost only marginally more than 300, and the tier view is how you find out before committing.
